Section 01

Privacy Policy.

RegSymp ("we", "us", "the organiser") collects and processes personal data solely for the operational running of RegSymp Luxembourg 2027 and the delivery of related delegate materials. This policy describes what we collect, why, how it is held, and the rights you retain as a delegate, speaker, sponsor or correspondent.

What we collect

  • Name, job title, organisation, and business email address
  • Dietary, accessibility and travel preferences provided at registration
  • Session attendance, networking-table allocation, and dinner seating data
  • Payment and invoicing records (processed by our payment provider; we do not store card details)

How we use it

Delegate data is used to issue tickets, prepare delegate badges and pre-event briefing packs, allocate roundtable and dinner seating, and distribute the post-event briefing materials. It is also used for the issue of certificates of attendance where requested.

What we do not do

Delegate lists are never sold or shared with sponsors without explicit, written, opt-in consent from the delegate. We do not enrich your record from third-party data brokers, we do not retarget you across the web, and we do not share your contact details with any commercial partner outside the operational running of the event.

Retention

Operational data is retained for 24 months following the event for the purpose of issuing post-event materials, handling subsequent registration enquiries, and meeting our statutory record-keeping obligations under Canadian tax and corporate law. After that period, records are anonymised and aggregated.

Your rights

You have the right to access the personal data we hold about you, to request its correction or deletion, to withdraw any consent previously given, and to lodge a complaint with the relevant privacy regulator. To exercise any of these rights, contact info@regsymp.com.

Cookies & site analytics

The RegSymp website uses a small number of first-party cookies for basic site analytics and to remember non-personal preferences such as accepted notices. No advertising cookies are set. A full cookie inventory is available on request.

Section 02

Terms & Conditions.

The following terms govern your registration and attendance at RegSymp Luxembourg 2027 ("the Event"). By completing registration you accept these terms in full.

Registration & eligibility

Attendance is by invitation and is capped at two hundred senior delegates and a small number of partners. The organiser reserves the right to decline or revoke a registration where, in our reasonable judgement, the applicant does not meet the practitioner-senior-leader criteria the programme is designed for.

Pricing & payment

All published prices are quoted in Canadian Dollars (CAD) and are exclusive of applicable sales taxes unless otherwise stated. Invoices are payable within thirty (30) days of issue and must be settled in full prior to attendance.

Cancellation & substitution

  • Substitution: Free name substitution is available up to fourteen (14) days before the Event.
  • Full refund: Cancellations received in writing more than sixty (60) days before the Event qualify for a full refund less a CAD $250 administration fee.
  • Partial refund: Cancellations received between sixty (60) and thirty (30) days before the Event qualify for a fifty per cent (50%) refund.
  • No refund: Cancellations received less than thirty (30) days before the Event are non-refundable. Name substitution remains available where eligibility criteria are met.

Programme changes

The published programme is indicative. The organiser reserves the right to vary the speaker faculty, session order, or venue at its sole discretion. Material changes will be communicated to delegates by email at the earliest opportunity.

Force majeure

Where the Event cannot proceed in whole or in part by reason of circumstances beyond the organiser's reasonable control — including but not limited to natural disaster, public-health emergency, civil unrest, or governmental restriction — the organiser will, at its sole discretion, reschedule, reformat (including to a digital alternative), or provide a credit for a future edition. Cash refunds in force-majeure circumstances are at the discretion of the organiser.

Liability

To the maximum extent permitted by law, the organiser's aggregate liability to any delegate or partner is limited to the registration fee actually paid by that delegate or partner. The organiser is not liable for any indirect, consequential, or loss-of-profits damages.

Governing law

These terms are governed by the laws of the Province of Ontario, and the parties submit to the exclusive jurisdiction of the courts of Ontario in respect of any dispute arising from these terms.

Section 03

Code of Conduct.

RegSymp is a peer-to-peer forum for senior practitioners. Its value rests entirely on the candour of the room. The following expectations apply to every delegate, speaker, partner and member of the organising team for the duration of the Event.

Chatham House rules

All sessions, roundtables, and the dinner are conducted under Chatham House rules unless otherwise stated. You may use information shared in the room; you may not attribute it — by name, organisation, or any combination of identifiers sufficient to identify the speaker — outside the room.

Recording & reporting

Recording of sessions in any format — audio, video, screen capture, or transcription — is prohibited without the prior written consent of the organiser. The organiser produces an official anonymised synthesis and distributes it to delegates after the Event.

Respectful behaviour

RegSymp is committed to a harassment-free environment for everyone. The organiser does not tolerate discriminatory language or conduct on the basis of gender, gender identity, sexual orientation, disability, ethnicity, religion, age, or any protected characteristic. Personal attacks, intimidating behaviour, and unwelcome physical contact are not tolerated.

No solicitation

The Event is not a sales floor. Delegates and partners undertake not to use the Event, the delegate list, or any session as a sales-prospecting exercise. Sponsor partners are bound by the additional commercial expectations set out in their partnership agreement.

Reporting concerns

Concerns of any nature may be raised confidentially and at any time with the organising team in person or in writing at info@regsymp.com. The organiser commits to acknowledge each report within one business day and, where the report is upheld, to take proportionate action up to and including the removal of attendance privileges without refund.

Section 04

Accessibility.

RegSymp is committed to ensuring that the symposium, its venue, and its digital materials are accessible to every senior practitioner the programme is designed for. This statement describes the standards we work to and the support that is available.

Venue

The selected Luxembourg venue meets, and in several respects exceeds, the requirements of the Accessibility for Ontarians with Disabilities Act (AODA). Step-free routes, accessible washrooms, hearing-loop coverage in the main session room, and reserved seating with companion places are provided as standard. A quiet room is available throughout the two days.

Programme support

  • Live captioning is provided for every main-stage session
  • Printed programme materials are available in large-print on request
  • Dietary requirements — including allergens, religious, and medically-driven preferences — are accommodated at every meal
  • Personal-assistant tickets are issued at no additional cost where required

Digital accessibility

This website is designed to meet the Web Content Accessibility Guidelines (WCAG) 2.2 Level AA. Skip-to-content links, visible focus indicators, full keyboard navigation, semantic landmarks, and respect for the user's prefers-reduced-motion preference are implemented site-wide. If you encounter a barrier to access on this site, please tell us so we can fix it.

Requesting an adjustment

Any adjustment, large or small, can be requested at the time of registration or at any subsequent point by emailing info@regsymp.com. We aim to confirm arrangements within two business days.

Feedback

Accessibility is a moving standard and we welcome candid feedback. Reports of obstacles encountered — on the website, in any pre-event material, or on the day — are taken seriously and used to improve the next edition.
